About the Role

We’re looking for a Publishing Specialist (U.S. based, Part-Time) to join our growing team. In this role, you’ll transform manuscripts into beautifully formatted, professional books using Vellum, ensuring each title meets the highest standards of quality and consistency.

You’ll prepare files for publication across Amazon, Apple Books, Kobo, and Google Play track retailer uploads, and handle any reuploads or updates when titles are revised.

The ideal candidate has a strong background in publishing, a sharp eye for design and layout, and excellent organizational skills. You’ll manage multiple projects at once, maintain accurate records of titles and retailers, and ensure each book aligns with Whole Heart Publishing’s brand of excellence.

We’re looking for someone detail-oriented, reliable, and proactive, someone who thrives in a fast-paced environment and takes pride in supporting authors whose work uplifts and inspires readers.

Responsibilities:

  • Format manuscripts into professional EPUB and print-ready files using Vellum

  • Upload and manage titles across multiple retailers 

  • Keep detailed records of where each title is live and updated

  • Reformat and reupload titles as needed when edits or updates occur

  • Collaborate with the publishing team to meet deadlines and maintain quality standards

Key Qualifications:

  • Must be U.S. based and available part-time

  • 3+ years of experience in publishing or book production

  • Proficiency with Vellum for formatting and layout (required)

  • Familiarity with retailer upload processes (Amazon, Kobo, Google Play, Apple Books)

  • Strong attention to detail and ability to manage multiple projects simultaneously

  • Editing or proofreading background preferred

  • Reliable, organized, open to feedback, and aligned with our mission to publish stories that honor dignity, connection, and lasting love
