Nest is a fully remote company, so the Operations Manager is vital to our success. The Part-time Operations Manager supports the day-to-day operational and administrative functions of the organization, reporting to the VP of Finance & Operations. This role ensures that Nest’s core systems, tools, and vendor relationships are well maintained, organized, and functioning effectively to support staff across teams. This is a hands-on, detail-oriented role suited for someone who is highly organized, comfortable managing multiple systems at once, and motivated to ensure the organization’s operational infrastructure runs smoothly and reliably.
Role Autonomy & Expectations
Managers remain directed in aspects of their scope of work and receive opportunities to contribute to moderately complex projects and/or processes within the job function, though are not expected to lead these projects autonomously.
Major Roles and Responsibilities
(20%) Vendor & Contract Management
Manage external state registration service providers (Labyrinth)
Manage SAM registration via Renewal Support
Conduct annual or biannual software reviews:
Evaluate cost, usage, effectiveness and redundancies
With direction and as needed, negotiate existing vendor contracts renewals which may include but would not be limited to:
Asana, Slack, G-Suite
IT/security
Concur
DocuSign
Adobe
Salesforce
Microsoft Office Suite
(30%) Communications & Administrative Support
Serve as administrator for the “Nest Hub” company intranet on Notion
Heavy logistics and planning support for Nest annual in-person staff retreat
Manage the info@buildanest.org inbox
Support logistics for monthly staff meeting and staff gifting (e.g., baby showers)
With guidance, develop and maintain new systems training materials for staff (e.g., systems onboarding) based on research, guidance, and best practices for effective use across core Nest platforms
Project management for select data organization and workflow improvement initiatives
Ensure completed audit and 990 are added to website
(20%) Technology & Systems
Build and maintain a tech systems inventory:
Hardware: phones, laptops
Software: tools, licenses, vendors, integrations
Track software licenses and renewals; flag unused or underutilized tools
Monitoring software update notifications across all subscriptions
Gather internal stakeholder feedback on system pain points and unmet needs
Renew existing domains via GoDaddy
Qualifications
3-5 years of experience in administration, operations, or IT support roles preferred
Experience managing vendor relationships or contracts
Comfortable with basic IT and office systems (Google Workspace, Slack, etc.)
Experience with SaaS platforms (Asana, DocuSign, Salesforce, etc.), a plus
Basic understanding of data organization and workflows; experience with Zapier or similar automation tools is a plus
Attention to detail and accuracy in managing records, purchases, and renewals
Strong organizational and project management skills; ability to track multiple tasks and deadlines
Self-starter with the ability to work independently
Flexible and adaptable to project-based work with varying priorities
Collaborative, proactive, and solutions-oriented
