Nueva Vida is seeking a highly organized and dependable Finance & Administrative Assistant to manage our internal bookkeeping processes and support essential administrative and organizational tasks. This part-time position will play a key role in keeping our financial systems accurate, timely, and transparent. The ideal candidate is attentive to detail, comfortable with bookkeeping, and aligned with our mission to serve children with disabilities in Guatemala. This is a remote position, based in the USA, with preference given to candidates located in the Kansas City area.
Key Responsibilities
Bookkeeping & Financial Support
Maintain accurate QuickBooks records and ensure entries are up to date
Input annual budget and prepare monthly financial reports for review by the Board Treasurer and Executive Director of Development
Coordinate payroll-related tax filings and documentation (W-2s, 1099s, state and federal taxes, KS wage report, 941s, etc.)
File 990 extension and prepare the 990 report annually for review prior to submission
Reconcile donations monthly in Bloomerang CRM with bank and QuickBooks records
Prepare year-end donor tax receipts and assist with donation tracking, including restricted funds
Assist in preparing financial reports for grant applications, donor reports, and end-of-year summaries (P&L, funding breakdowns, balance sheet)
Maintain organized digital records in Google Drive
Print and mail checks for recurring payments as needed
Administrative Support
Maintain donor data in Bloomerang CRM, ensuring records are accurate, complete, and reliable
Support development-related administrative tasks, such as the preparation and logistics for donor direct mailings
Maintain an internal financial and development calendar with key deadlines and tasks
Schedule and prepare materials for board finance meetings
Assist with communication and information flow between Nueva Vida’s Guatemala-based and U.S.-based teams on finance and donor-related tasks
Support other back-office administrative needs related to donor engagement and fundraising logistics
Qualifications
Bachelor’s degree in accounting, nonprofit management, business, or a related field
Demonstrated experience in financial management and accounting, ideally in a nonprofit setting—including budgeting, compliance, audits, and reporting
Strong, hands-on knowledge of QuickBooks is essential; must be highly comfortable navigating and maintaining accurate records
Proficiency with Google Workspace and donor CRM systems (Bloomerang preferred)
Strong proficiency in English and conversational to professional proficiency in Spanish
Organized, detail-oriented, and self-motivated, with the ability to manage multiple priorities
Personal qualities of integrity, discretion, and professionalism
Alignment with Nueva Vida’s mission, including comfort with faith-based values and the ability to represent the organization with care
U.S. residency required for handling state and federal filings
