Organizational Assistant (Part-Time)

We are looking for an Organizational Assistant to provide organizational support to our executive director and our team. Candidates are able to work remotely and travel on occasion; being able to work in person in Florence, MA on occasion is a plus, but not required.
As an Organizational Assistant, you will perform various organizational tasks, including research, answering emails, scheduling meetings, making travel arrangements, proofreading, editing, and formatting text, facilitating the organization’s communications, helping maintain the organization’s website, and more. For this role, a strong Internet connection is required. Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision.
The Sales and Distribution Coordinator position is a W2 position.
Timeline, Compensation, and Benefits
We are hoping to hire our Organizational Assistant before the end of August, 2025.
This is a part time position to begin with, with the opportunity for growth. Initially we are looking for 10 hours per week at a rate of $25 an hour.
New employees start with one day of paid sick time (equal to their total weekly hours divided by five) and accumulate 2 hours paid sick time for every 40 hours worked.
The maximum sick time an employee can accumulate in a 12 month period is equal to two weeks. For example, if an employee is working 10 hours a week, the maximum sick time that can be accumulated in a 12 month period is 20 hours; if an employee works 40 hours a week, the maximum is 80 hours in a 12 month period.
Employees have all national holidays off and are paid for their hours on these days
Responsibilities
Logistics
Booking travel and accommodations for executive director (ED) and other team members
Coordinating with collaborators (interview subjects, performers, presenters, participants in events, etc.)
Responding to emails and calls
Managing and maintaining the ED’s calendar
Sending reminders and keeping track of timelines
Prepare agendas and schedule meetings, including, but not limited to board meetings and creative team meetings
Create and maintain a system for filing and accessing all Self-Evident assets
Assist with errands (if local)
Create and maintain systems to help prioritize tasks and ensure/track outcomes
Research
Take and synthesize notes from meetings
Synthesize information pertinent to Self-Evident projects and operations
Conduct research on a variety of topics (basic historical research, market research, current events research)
Communications
Draft newsletters in consultation with ED
Draft social media posts
Manage social media calendar
Post to social media
Website maintenance
Learn the basics of Sanity (our website builder)
Update pages on website as needed
Update all existing curriculum to match new formatting template
Projects
Assist ED in project management
Create presentations as needed
Write drafts of documents as needed
Grant applications
Transcription work
Proofread and edit documents, internal and external
Requirements and skills
Commitment to Self-Evident’s values as anti-racist storytellers/historians/educators
Critical and creative thinker
Detail-oriented and organizationally minded
Proven experience as an Assistant or relevant role
Familiarity with current technologies, like desktop sharing, cloud services and VoIP
Experience with word-processing software and spreadsheets (e.g. MS Office, and Google Suite)
Knowledge of online calendars and scheduling (e.g. Google Calendar)
Excellent communication skills, written and verbal
Excellent time management skills
Proactive problem-solver—anticipate challenges and identify opportunities
The ability to self start and complete tasks
Solid organizational skills
