Operations Assistant (Contract, Freelance)
Women Corporate Directors (WCD) is seeking a highly organized, detail-oriented Operations Assistant to provide operational and administrative support to the CEO and team. The ideal candidate has prior administrative and/or operations experience and demonstrates exceptional professionalism, responsiveness, and follow-through. This is a unique opportunity to join a dynamic, mission-driven team at a global nonprofit organization making a meaningful impact in corporate governance and leadership. You’ll work closely with a small, driven team and have exposure to an accomplished, globally connected network of senior women executives and corporate directors while helping to advance WCD’s important mission.
This is a remote position and WCD is a virtual team but is a Florida-based 501(c)(3), so preference is for East Coast time zone and/or Florida residence. This role may occasionally be needed for attendance and assistance at in-person meetings and events. It is part-time, with the potential to transition to full-time employment with benefits.

Key Responsibilities
Executive and Administrative Support
Provide day-to-day support to the CEO, including scheduling meetings, tracking pending tasks, coordinating travel, and processing expenses.
Assist with logistics for board, committee, and team meetings, including calendar coordination and preparation of materials.
Perform data entry, updates, and quality control in organizational databases and tracking systems.
Draft, edit, and prepare correspondence, reports, and other documents as needed.
Track and record expense information, invoices, and payments; support additional finance and audit activities as needed.
Maintain organized digital filing systems.
Perform additional administrative duties as requested.
Operations and Vendor Coordination
Serve as a point of contact for applicable vendors and service providers, including technology partners; monitor agreements and ensure deliverables are met.
Coordinate employee onboarding/offboarding processes, ensuring access and permissions are properly managed across business platforms.
Support employee benefits administration, including enrollments, vendor coordination, and communication with staff to ensure accurate and timely processing.
Track key organizational deadlines and compliance filings in coordination with leadership.
Support additional business operations as needed.
Qualifications
Proven experience in administrative or operations roles, ideally supporting executives or senior leadership.
Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office and cloud-based collaboration tools (e.g., Google Workspace).
Experience with Salesforce or other CRM/database systems preferred.
Discretion and sensitivity in handling and safeguarding confidential information.
Self-starter comfortable working independently in a remote environment.
Solutions-oriented and proactive mindset.
Collaborative team player and flexibility in adjusting to new directions.
Additional Information
Part-time contract role (15–20 hours/week).
Remote position; preference for candidates based in Eastern Time Zone and Florida specifically (ideally in Jacksonville, St. Augustine, or Orlando areas).
