Luxury Travel Coordinator (Full-Time)

Job Description:

We are seeking a dynamic and driven individual to join our team as a Luxury Travel Coordinator. The ideal candidate will possess a strong work ethic, obsessive attention to detail, and a self-starter mentality. The successful candidate will have a passion for luxury travel, be a creative problem-solver, and possess the ability to anticipate the needs of both advisors and clients. They will thrive in a fast-paced environment and be able to manage multiple tasks with ease. This is a mid-level position on an expanding team, and the salary is highly competitive.

Responsibilities

  • Support travel advisors to provide amazing service for high-end clients

  • Correspond with suppliers (hotels, operators, independent guides, hotel concierge teams, restaurants) to coordinate travel arrangements, including dining reservations, entertainment, and transportation

  • Prepare hotel quotes, ensuring accuracy and attention to detail

  • Create and maintain client travel documents such as itineraries and invoices

  • Reconfirm client itineraries before client departure

  • Handle any changes or cancellations in a timely manner to minimize disruptions

  • Help manage operations process on both pre and post-trip activities

  • Lead email inbox triage efforts by delegating and/or responding to emails

  • Liaise with the Air Team as needed to assist in clients’ air needs

  • Enter data into CRM (trip feedback, account/client information, passport information, etc.)

  • Learn and use Away We Globe's proprietary technology tools

  • Assistance with commission inquiries

  • Maintain up-to-date knowledge of travel regulations, trends, and best practices.

  • Provide excellent service throughout the entire travel process.

Qualifications

Salary is competitive and commensurate with experience.

  • 2+ years of luxury travel planning or travel industry experience

  • Detail-oriented, excellent time-management and organizational skills with the ability to handle multiple projects simultaneously

  • Strong work ethic and identifies opportunities to take on more

  • Willing to work as urgent needs arise - able to quickly respond to emails and comfortable working evenings and weekends as needed

  • Outstanding verbal and written communication skills

  • Ability to handle high-stress situations and remain calm

  • Team player, able to work collaboratively and within a team

  • Proactive and resourceful; an intuitive problem-solver

  • Passion for the luxury travel industry is a strong plus
